As we all know the most difficult task in the world is to make money. It not only takes our time but also devotion and commitment, therefore, it is obvious that we don’t want to spend our money on things that are defective. We often come across situations in the modern world when we are delivered with faulty goods. We are embarrassed but still feel no way out to return these faulty goods and get our hard-earned money back.

The most appropriate way to refund goods is by sending a letter to the delivery party about the problem of faulty goods. The letter must fulfill certain requisites to communicate the problem and your purpose of writing the letter.

Firstly, the topic of the letter must directly refer to your problem, so that the delivering party could easily comprehend your message. In the body of the letter, you are supposed to mention the fault and demand for the refund of the money.

The thing to notice is that you must not get carried away in the mix, but due to the necessity of the subject, you are obliged to calmly mention your right of getting your money back. Although you could also give them the option to change the object, if you are stern on refunding the money, explicitly mention that you won’t be accepting any kind of change in the item. By such narration, you would be able to aptly communicate your message through the letter.

Dear Jack,

I purchased machinery for my gym located at [address] from your online store for US $1500. I paid through my credit card on [date]. I am also enclosing copies of the payment transaction receipt and warranty card for your reference. Your concerned department delivered the machinery to my address on [date].

Unfortunately, I am not satisfied with the quality of the product. Its performance is not satisfactory because of some serious defects. I used the product for a week without facing any problem. On 20th December, it stopped working suddenly. I became worried because it stopped functioning during rush hours. I had used it carefully and not in a way to cause any damage. I read the user manual at that time and tried to overcome the fault. I tried my best to troubleshoot the problem by following all steps mentioned in the manual, but all in vain. The product has appeared to be faulty and is of poor quality.   

I contacted your customer services representative who advised me to return the faulty product along with receipts. He also suggested I speak to the sales manager to resolve the problem. I talked to your manager, but he was unable to resolve my problem satisfactorily.  

Dear Jack, serious faults found in the machinery have put drastic effects on my business. Now I want a quick resolution of my problem. I will appreciate it if you direct your concerned department to pick this machinery from my place and refund my paid amount without any fee.  I have enclosed credit relevant documents including credit card transaction receipt, delivery invoice, and some pictures of faulty parts of the machine.

Please respond to my letter as soon as possible. If I do not find a suitable answer from your side, I will be forced to seek assistance from the consumer protection court. So, to avoid inconvenience, you are required to contact me via email or phone within the stipulated period.

Dear Jack,

On [date], I purchased a sewing machine from your store located at [address]. I paid US$ 700 for that purchase. Unfortunately, I was unable to use it because one of its most important parts was missing. I realized it while going through the assembling procedure. Without wasting any moment, I called your customer services representative and briefed him about the situation. He told me that my complaint had been registered and that I would receive the missing part within 7 working days.

The irony of fate is that it’s been one month, and I have not received the missing part yet. I contacted your representative multiple times and every time he assured me that the missing part had been dispatched from the warehouse and it was on the way to my home.

Now the situation is that I am unable to use that machine without an unassembled part. I request you to direct the concerned department to collect the faulty machine from my home and return my paid amount without any deduction. I called your CSR in this regard, and he informed me that company has not laid down this kind of policy.

Despite your policy, I still believe that my paid amount must be refunded. It was my right to receive the perfect product. I will wait for seven days, and you are required to deposit the money in my account within this period. Otherwise, I have full right to involve the consumer protection court in this matter. Therefore, you are advised to act as per directions and refund my money without waiting for the deadline.

Your cooperation will be highly appreciated in this regard.
